NDIS Onboarding Coordinator
Role Description for NDIS Onboarding Coordinator

We are seeking a reliable, experienced, and professional Onboarding Coordinator to support our participants
Position Primary Purpose:
The primary purpose of this position is to ensure the smooth and timely administration of NDIS agreements and billing, including process improvements where possible.
Reporting
The NDIS Onboarding Coordinator reports to the Operations Manager and works in partnership with the Accountant and Finance Officer on NDIS administration, billing, and collections.
Role Description:
Responsible for the administration of NDIS agreements and billing for teams without dedicated support, and for liaising with other NDIS administration, intake, and co-ordination roles in the organization
Ensure timely and accurate issuing of new service agreements and updates. This involves:
- Liaison with Intake and clinical teams to ensure accurate client information and quoting,
- Monitoring client data across multiple systems including MYP and Participant folder in OneDrive.
- Maintaining and updating service agreement templates in line with NDIS and Organizational requirements
- Establishing and refining efficient processes to create, update and monitor client agreements.
- Ensure consistent record keeping and version control of client agreements in the relevant system.
- Respond to internal and external queries regarding NDIS agreements and administration in a professional and timely manner.
- Participate meet and greet of new participants and their families.
- Liaising with the clinical teams to carry out initial risk assessments of participants home and other places of support.
Manage NDIS Portal and participant Plan administration for the relevant participant including:
- Establishing and updating service bookings in line with service agreements and client plan data.
- Ensure client plan amounts and bookings are accurately reflected in the relevant systems including expiry dates and plan usage milestones.
- Provide regular and ad-hoc reports to Finance leadership and other NDIS staff.
- Ensure claims comply with NDIS Price guidelines and relevant regulations.
NDIS Billing and Finance Administration:
- In liaison with the accountant, process NDIS portal claiming and client billing in a timely and accurate manner.
- Assist the Accountant with NDIS collections and administration issues, including portal corrections and manual claims.
- Work with Intake and other NDIS staff across Empathy Community Service Admin team to streamline and automate processes across all systems.
Collaborate with the wider Empathy Community Services NDIS teams:
- Maintain good relationships and open communication with the wider Empathy Community Services to facilitate mutual sharing of information and knowledge. This will enable sharing awareness of any operational issues and matters for timely informed decisions.
- Maintain an environment of trust, respect, and collaboration with the extended teams, to ensure a congenial environment.
- Exhibit and promote a culture of ‘customer service’, trust and respect; to allow the finance team to be of great value and service to the wider organization.
Other Duties:
- Provide leave cover for other NDIS or finance administration staff as required.
- Actively participate in team meetings and other forums as required.
- Participate in quality projects as determined from time to time.
- Work with the team to ensure priorities in all the areas are met.
- Other ad-hoc tasks as required.
- Develop marketing materials in eMarketing to help grow the company,
- Roster management in MYP
- Approving and monitoring staff attendance in MYP
- Reviewing staff notes and updating continuous improvement spreadsheet.
- Designing electronic forms (as necessary) in MYP
- liaising with the HR Coordinator to ensure we have the right skills of staff to support our participants.
- Liaising with HR to investigate staff complaints, abuse, incidents, and debriefing staff if necessary.
- Management of the health and wellbeing project
- Grant applications
- Project implementations (incl. recruitment, purchase of items, source of service providers)
- Group activities (liaising with activity
Requirements:
- Excellent verbal and written communication skills
- Excellent time management skills with the ability to prioritize and complete tasks effectively
- Minimum of 2 years NDIS experience
- Valid Drivers License
- NDIS Worker Screening Card
- WWC Blue Card
